Job Description

【Summary】
This company is a specialist trading firm involved in the sales and distribution of air conditioning installation materials, primarily using Japanese-style ductless systems. They supply products manufactured in Japan and Southeast Asia through their distribution network in the U.S. They are looking for a candidate who can proivide comprehensive support not only in accounting but also in sales support, human resoueces, general affairs, and other related areas.

【Essential Duties】
Accounting support
・Support Company’s Operations, especially accounting-related tasks, including processing transactions, maintaining financial records, and preparing reports as the main focus of the role.
・Assist with monthly and year-end accounting procedures, ensuring accurate recordkeeping.
・Check details and costs of expense reports and corporate Credit Card statement.
・Ensure organizational policies are followed in all accounting activities.

Inside sales order support
・Support order processing (both incoming and outgoing) by coordinating with customers and vendors to ensure smooth order handling and delivery arrangements.
・Follow up and update customer’s PO by email if they need to be revised, increased/decreased quantities and rate, etc.
・Investigate discrepancies on purchase orders so processing can be completed efficiently.
・Compiling Monthly Sales performance’s report.
・Support Customer’s delivery schedule as necessary.
・Monitor freight carriers as necessary and make necessary changes.
・Communicate effectively in English with internal and external teams.
・Follow up on outstanding invoices.
・Prepare to order product samples and manage products samples in office storage.
・Shipping of sample products.

Human resourcing & Administration support
・Provide assistance with HR and general affairs tasks as required.
・Assisting and supporting the Operations Manager’s duties.
・Maintain office supplies as necessary
・Contact property manager as necessary
・Coordinate with maintenance/janitorial services as necessary

【Salary & Benefits 】
$​​​​​25/hr ～ $30/hr ＋BONUS ( four times a year )

・ Fluency in English (written and spoken)
・ Microsoft Office, Excel intermediate to advanced level (Assessment tests are required to verify knowledge and abilities at interview)
・ Proven experience in accounting or related fields
・ Strong understanding of accounting principles and financial processes
・ Ability to communicate effectively with both local and international teams
・ Detail-oriented with a focus on accuracy
