Position
Sales Coordinator

Summary
A leading Japanese company is seeking a detail-oriented and proactive Sales Coordinator to support sales operations and ensure smooth communication across departments. The ideal candidate will be organized, adaptable, and capable of thriving in a fast-paced, multicultural environment. Fluency in Japanese or Spanish is highly preferred.

Essential Duties

• ​​​​​​Process customer orders and relay them to vendors in accordance with quoted terms and conditions
• Enter and manage sales and purchase transactions, including receiving, shipping, and invoicing, using the company’s ERP system
• Maintain accurate documentation of all transactions in line with internal control requirements
• Coordinate with customers, freight forwarders, warehouse contractors, manufacturers, and vendor contacts to ensure timely and accurate order fulfillment
• Maintain and monitor inventory records under the supervision of the Sales Manager
• Participate in team meetings and cross-functional business activities
• Collaborate with the Accounting team on AR collections and AP inquiries
• Support regular accounting and compliance audits
• Follow internal trade compliance procedures to meet import/export requirements
• Adhere to company policies and procedures; develop working knowledge of the company’s products, services, and workflows
• Maintain consistent productivity and accuracy in all assigned tasks
• Process vendor expense invoices in the ERP system to ensure timely payment
   

Working Hours, Working style
Monday - Friday; 9:00 - 17:00 (OT as needed)

• Hybrid remote (3 days per week in the office)

Qualifications

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint, PowerPoint), Adobe, and Zoom
• Experience with Microsoft Dynamics ERP is a plus
• Ability to perform routine tasks accurately and efficiently
• Flexibility to adapt to changes in workload and responsibilities
• Strong written and verbal communication skills in English; Japanese and/or Spanish is a plus
• Excellent time management, organizational, and interpersonal skills
• Strong attention to detail and accuracy
• Team-oriented mindset with the ability to collaborate across diverse personalities
• Customer-focused with strong relationship-building skills
• Occasional travel (domestic and international), approximately 5% annually
• High school diploma required; Associate’s degree preferred
• Previous customer service experience preferred
• Background in trade business (import/export) is a plus
