Job Description

Position: Export Agent

Summary:
Oversees the overall export operations through management planning with a set objective and goal to maximize the productivity of the department. Follow the operational and fiscal activities of the department. Plan and develop systems and procedures to improve the operating quality and efficiency of the department. Execute export operations with company procedures. Coordinates with other departments and warehouse operations.

Essential Duties:

1. Increase Profit and Revenue:

   • Manage the operational and fiscal activities of the department, including staffing levels, budgets, and financial goals.

2. Sustain Excellent Quality of Service:

   • Plan and develop systems and procedures to improve the operating quality and efficiency of the department.
   • Ensure excellent customer service and employee satisfaction.
   • Analyze and document business processes and problems.
   • Develop solutions to enhance efficiencies, coordinate and implement solutions from process analysis and general department projects.
   • Responsible for meeting department productivity and quality goals.

3. Regulatory Compliance:

   • Examine and possibly delay dangerous goods shipments if packaging does not meet IATA regulations.
   • Return shipment to sender for repackaging if documentation is inadequate or incorrect.
   • Ensure compliance with all regulations. Supervise enforcement of TSA (IACSSP, CCSP), FAA, C-TPAT security measures, and DOT requirements.
   • Supervise enforcement of FMC, C-TPAT security measures, and DOT requirements.

4. Customer Requirements:

   • Ensure all special customer requirements and needs are met.
   • Monitor all customer communications and respond when necessary.
   • Recommend the best method of transport (rail, air, or ocean).
   • Provide booking information and on-hand reports to clients.
   • Oversee documentation error prevention, pre-alerts, and accurate AES filing.

5. Problem Solving:

   • Solve problems with shipment (e.g., canceled bookings, airline delays, lack of space on the carrier, and damaged freight).
   • Prepare miscellaneous reports (e.g., profit report, cargo damage report, and ISO).

6. Business Development:

   • Take initiative in developing new methods to increase business.

7. Carrier Selection:

   • Select the most cost-effective carrier for direct shipments and consolidation shipments.
   • Seek the best airline/ocean carrier rates.
   • Obtain better rates from carriers and trucking.
   • Coordinate consolidations or co-loadings for better profitability.

8. Document Verification:

   • Verify the accuracy of all shipping instructions and documents (e.g., verifying the number of pieces being shipped versus the count number on the airway bill).

9. Customer Communication:

   • Monitor all customer communications and respond when necessary.
   • Recommend the best method of transport (rail, air, or ocean).

10. Report Preparation:

    • Prepare various reports.
    • Prepare rate quotes, arrange booking and pick up.
    • Coordinate preparation of inventory and on-hand reports.
    • Review customer contracts and rates.
    • Verify invoices and accounts payable/receivable.
    • Coordinate and ensure timely posting of invoices.
    • Prepare monthly ISO reports; send out surveys and service evaluations.

11. Warehouse Operations Coordination:

    • Coordinate warehouse operations such as shrink wrapping, boxing, labeling products for shipping.
    • Stage finished product for loading.
    • Load and unload products and materials from the truck.
    • Move materials to warehouse storage.
    • Weigh and measure cargo.
    • Ensure quality control; no damaged product is sent out.
    • Operate forklift and pallet jack.
    • Complete daily logs.
    • Perform maintenance checks on forklifts and other warehouse equipment.

12. Other Duties as Assigned:

    • Undertake any other necessary preparations and arrangements to enhance the performance of the department and overall branch.

Working Hours, Working Style:
Working hours are typical for an office environment but may require occasional weekend and/or evening work. Work may also require time in a warehouse and/or outdoors.

Working Location:
ATL Branch, Export Department.

Qualifications:

• Basic English reading, writing, and arithmetic skills required. Minimum high school diploma or equivalent.
• Knowledge of office processes, procedures, and technology. Experience in supervising team activities.
• Ability to read and interpret accounting and financial reports.
• Three to five years of office experience, including supervisory responsibility.
• Excellent communication skills.
