Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Assist with administrative tasks such as answering service department phone calls, handling email correspondence, filing, and document preparation.
• Maintain and update the Service Department employees' schedule.
• Coordinate projects associated with the Service Department.
• Prepare technical documents and maintenance procedures.
• Assist in updating SOPs (Standard Operating Procedures).
• Collect, sort, and enter data into spreadsheets and other programs with minimal errors.
• Liaise with internal and external parties, assess programs, and resolve issues to ensure client satisfaction.
• Oversee client interactions to meet service requirements and address any issues promptly.
• Establish a standard set of service requirements and assist in training workshops for department employees.
• Interact with unsatisfied clients, employing service and communication techniques to resolve conflicts professionally.
• Create reports and make recommendations for areas of improvement.

EDUCATION AND/OR EXPERIENCE:

• Associate Degree in Business Administration.
• Three to five years of experience in keeping and managing multiple records/data.

LANGUAGE SKILLS:

• Ability to read, analyze business correspondence, write reports, and procedure manuals.
• Effective presentation skills and ability to respond to questions from various stakeholders.

MATHEMATICAL SKILLS:

• Ability to calculate figures and amounts, such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY:

• Ability to solve practical problems and deal with variables in situations with limited standardization.
• Interpretation of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS:

• Proficiency in MS Office (Word, Excel, PowerPoint).

OTHER REQUIREMENTS:

• Outstanding written and verbal communication and interpersonal abilities.
• Excellent organizational and time management skills.
• Experience in data entry software, maintaining, organizing, and updating detailed information.
• Ability to focus for long periods, work quickly and accurately.
• Capability to manage multiple projects simultaneously.
• Customer service-oriented with strong people skills, building relationships with partners and service providers to ensure excellent client care.

Salary: $40,000.00 - $45,000.00 per year
