Position
General Affairs Assistant
Summary
This position is responsible for assisting company’s administrative functions by performing the following duties.
Essential Duties
▪ Obtains and maintains business license such as ABC, Health permit, City license, Sellers Permit, Fictitious name etc. for all direct owed stores and corporate office.
▪ Handles General Liability matters by communicating with all related parties.
▪ Handles customer complaints brought up to the corporate office by re-directing it to appropriate regional managers, and follow up to confirm that has been resolved with the customers.
▪ Handles customer inquiries regardingXXXXX Gift Certificates.
▪ Arranges company events and meetings.
▪ Handles housekeeping of the corporate office, contact the property manager for maintenance issues and other concerns.
▪ Greets, directs guests and serves water if necessary.
▪ Answers, directs telephone calls and takes or transfers messages as necessary.
▪ Routes incoming and outgoing mail to internal and outside staff.
▪ Composes routine correspondence and creates reports or presentations.
▪ Maintains office and equipment lease contracts, health and business liability insurance, etc.
▪ Handles renewal for business liability insurance.
▪ Organizes and maintains file system, and files correspondence and other records such as invoices, billingstatements, business related licenses,  permits, contracts etc.
▪ Makes copies of correspondence or other documents.
▪ Arranges travel, transportation and hotel reservations for personnel and corporate guests when necessary withcareful considerations to  minimizing costs.
▪ Handles holiday cards.
▪ Orders and maintains office and shipping supplies.
▪ Runs errands for company when necessary.
▪ Provides assistance in benefit administration, such as processing health insurance enrollment, terminations and requests.
▪ Assists in answering inquiries from executive management, investors and auditors in Japan.
▪ Interprets, translates and re-communicates both verbal and written messages from Japanese into English or vice versa.
Assists in payroll process,

 Risk Management
▪ Implements risk management policy and procedures.
▪ Schedules restaurant inspections with insurance agents.
▪ Communicates with appropriate persons to make improvements on risk management issues.
▪ Works with third party to update employee safety manual and conduct safety training.

Other & Miscellaneous
▪ Seeks constant improvement for more efficient and less expensive ways and means in work processes.
▪ Performs special projects and other miscellaneous duties as assigned by management.
▪ Maintains high ethical standards in the work place.
▪ Reports all irregular issues and problems to management for solution.
▪ Maintains good communication with supervisors, office staff members and outside contacts.
▪ Complies with all company policies and procedures.
▪ Responsible for maintaining a clean and safe working area.
Working Hours, Working style
9:00~18:00

Qualifications
​​​​​​​Education & Work Experience
▪ Associate’s Degree or equivalent in Business or in a related area from a two-year college or technical school; or six months to one year’s related experience and/or training; or equivalent combination of education and experience.
▪ One to three years of previous experience in a similar position.
Tools & Equipment
▪ General office equipment including phones, personal computers, email, fax, copier, scanner etc.
▪ Software includes the use of Windows operating system and MS Office and accounting and payroll software.
