Accounting Assistant Manager or Accounting Assistant

Summary
A Japanese electronic device maker is currently hiring a Japanese bilingual Accounting Assistant Manager or Accounting Assistant. This role entails assisting in the development, performance and maintenance of the administration team providing general office and administration support to the organization.​​​​​​​

Essential Duties (not official)

• Manages office operations alongside the operations manager.
• Developes, reviews, and improves administrative systems, policies, and procedures.
• Schedules and oversees cleaners, janitors, and security personnel.
• Orders office supplies and equipment.
• Receives, sorts, and distributes incoming mail.
• Plans office events, including town halls and team bonding activities.
• Assist in the preparation of financial statements, reports, and budgeting activities.
• Process accounts payable transactions.
• Monitor and reconcile bank statements and general ledger accounts.
• Assist in the preparation of tax returns and ensure compliance with tax regulations.
• Maintain accurate and up-to-date financial records.
• Assist in month-end and year-end closing procedures.
• Handle routine accounting tasks such as data entry, filing, and record keeping.
• Prepare and distribute invoices to customers.
• Assist with payroll processing and employee expense reimbursements.
• Assist in the preparation of financial reports for management.
• Raise Purchase Orders in line with business rules
• Ensure Purchase Orders are approved in line with business rules
• Email the Purchase Order to the supplier (where the system does not support automatic emailing of the Purchase Order)
• Receipt Purchase Order based on an approved goods receipt note/delivery docket
• Perform other duties as assigned.

Qualifications

• Bilingual in Japanese and English.
• An associate or bachelor’s degree.
• Proven experience in administrative roles.
• Experience in AP/AR
• Proficient in all Microsoft Office applications.
• Ability to plan for and keep track of multiple projects and deadlines.
• Excellent problem-solving skills.
• Effective communication skills.
• Understanding of Japanese corporate cultures.
