Japanese Bilingual Sales Assistant / Customer Service Representative

• Employment Type: Full-time, Non-Exempt

Summary

We are seeking a detail-oriented and dependable Sales Assistant / Customer Service Representative to support our semiconductor sales unit. This position plays a key role in managing customer communications, order processing, inventory coordination, and other sales-related administrative functions. The ideal candidate will be comfortable working in a bilingual environment and demonstrate strong organizational and communication skills.

Essential Duties

• Respond to customer inquiries via email and occasional phone calls
• Process customer orders and communicate shipping schedules
• Issue invoices and follow up on payment status
• Assist with customer onboarding and credit application procedures
• Coordinate with Japanese factories and internal teams (primarily via email)
• Maintain and update sales forecasts, budgets, and records in the CRM system
• Prepare internal and external presentation materials as needed
• Support sales representatives during customer visits and trade shows
• Conduct periodic inventory audits of SMI (VMI) accounts, if applicable
• Compile sales activity reports and share updates with sales management

Working Hours / Style

• Hours: 8:30 AM – 5:15 PM
• Overtime: Minimal; overtime compensation provided when applicable
• Work Format: Hybrid (on-site 3 days/week, coordinated with team schedule)
• Flexible / Reduced hours: Available upon discussion

Qualifications

• Experience in a sales assistant, customer service, or administrative support role
• Business-level Japanese proficiency (spoken and written) is highly preferred but not required
• Strong written and verbal communication skills in English
• Proficiency with Microsoft Office (Excel, Word, Outlook); experience with CRM/ERP systems a plus
• Organized, proactive, and comfortable working in a multicultural team environment
