General Affairs and Human Resources Coordinator

Summary

This position provides hands-on general affairs and human resources operational support across the organization. The role focuses on day-to-day HR administration, employee lifecycle support, office administration, and coordination with internal teams and external vendors. This position plays a key role in ensuring accurate execution of HR processes, compliance with applicable regulations, and smooth internal operations, while working closely with Operations Support and management as needed..

Essential Duties

I. General Affairs and Human Resources Coordination  Human Resources Coordination

• Support recruitment and onboarding processes, including coordination of documentation, system setup, and orientation logistics.
• Respond to routine employee inquiries related to HR policies, benefits, timekeeping, and employment procedures.
• Maintain accurate employee records and HR documentation in compliance with legal and company requirements.
• Assist with timekeeping, attendance tracking, and coordination with payroll providers.
• Support benefits administration by serving as a point of contact with benefits vendors and assisting employees with enrollment and changes.
• Coordinate offboarding processes, including documentation, benefits notices, and system access coordination.
• Assist with HR compliance tasks, including policy acknowledgements, required postings, and record retention.
• Maintain confidentiality and exercise discretion when handling sensitive employee information.

Office Administration and Clerical Support

• Manage routine office administration tasks, including office supplies, vendor coordination, and facility-related matters.
• Maintain organized filing systems for contracts, HR records, and administrative documents.
• Coordinate office-related invoices and support basic administrative expense tracking.
• Assist with maintaining internal policies, procedures, and administrative guidelines.
• Provide logistical and administrative support for restaurant operations as needed (excluding operational improvement projects).

II. General Work Policies

• Perform special projects and other miscellaneous duties as assigned.

Qualifications

• Educational: Bachelor’s degree in accounting/finance or a related field; or Equivalent combination of education and experience.
• Work Experience: At least 2 years of experience in general affairs and/or human resources duties, preferably in the restaurant or hospitality industry.
• Certificate/License: N/A
• Language: English: Business level (writing, speaking, reading) / Japanese: Conversational level to Business level is a plus

  2. Organizational Abilities: Crucial for managing various administrative tasks, office operations, and supporting HR functions.

  4. Attention to Detail: Essential for handling documents, scheduling, and ensuring accuracy in records and compliance.
  5. Problem-Solving Skills: Necessary for addressing operational challenges, employee concerns, and supporting executive decision-making.
