Summary

A Japanese-affiliated trading company located in Itasca, IL is seeking a Sales & Logistics Coordinator to join its Performance Materials Division.
The ideal candidate will be responsible for coordinating domestic and international sales orders, logistics, and customer service operations. This role requires strong organizational skills, attention to detail, and communication abilities to ensure smooth trading activities between suppliers, customers, and freight partners.

Essential Duties

Sales and Customer Support

• Handle order processing from quotation through delivery.

• Prepare and issue invoices, purchase orders, and shipping documents (packing lists, bills of lading, etc.).

• Communicate effectively with customers and internal teams regarding order status, inventory, and shipment schedules.

Logistics Coordination

• Arrange international and domestic shipments with freight forwarders.

• Ensure compliance with import/export documentation and procedures.

• Track inbound/outbound shipments and resolve delivery issues promptly.

Data Management & Reporting

• Maintain and update order data in ERP systems.

• Manage inventory records and prepare sales/logistics reports using Microsoft Excel.

Accounting Support

• Verify freight and shipping invoices.

• Issue customer invoices and assist in payment follow-up.

Administrative Support

• Provide clerical and administrative assistance to the division manager.

• Maintain organized documentation for sales, logistics, and accounting.

Working Hours / Style

• Monday – Friday, 9:00 AM – 5:00 PM (1-hour lunch break)

• Full-time, on-site (minimum 3 days per week in office)

• Annual Salary: $45,000 – $50,000 (based on experience)

Qualifications

Education / Experience

• High school diploma or higher (Associate degree preferred)

• Experience in trading or logistics operations within a trading company is required

Skills / Abilities

• Business-level proficiency in English; Japanese language ability preferred

• Proficient in Microsoft Office (Excel, Word, Outlook)

• Knowledge of import/export documentation and trading procedures

• Strong attention to detail and ability to multitask in a fast-paced environment
