[Part-Time] Event Promotion Coordinator

Summary
A leading Japanese food company is seeking a dynamic and organized Part-Time Event Promotion Coordinator to manage and execute in-store promotional events. This hands-on role involves coordinating logistics, supervising promotional staff, and acting as the primary on-site brand representative. The ideal candidate is a proactive problem-solver with excellent communication skills and a passion for customer engagement.

Essential Duties
Event Coordination & Logistics

• Communicate closely with HQ, managers, and staffing agencies to coordinate staff assignments for events.
• Meet with company staff at a designated location on a weekday to pick up all event materials (e.g., flyers, sample products, equipment).
• Transport all materials and products to the event location.
• Meet with store managers at event locations on a weekday to confirm event details and logistics.
• Travel to various event locations as required.

On-Site Event Management & Supervision

• Responsible for the timely and professional setup of the event space before the promotion begins and complete breakdown after the event concludes.
• Assist in supervising and coordinating event staff, ensuring they understand their roles, responsibilities, and brand talking points.
• Assign tasks to event staff based on event requirements.
• Serve as the main on-site point of contact for event staff, addressing any issues or concerns promptly.

Customer Engagement & Brand Promotion

• Greet and direct guests and customers in a friendly and professional manner.
• Enthusiastically distribute flyers and other marketing materials to event attendees.
• Serve food and beverage samples to guests.
• Maintain the cleanliness and presentation of the event space, including cleaning glasses, dishes, and sampling materials.
• Answer customer questions and provide information about the company and its products.
• Provide general support to other event staff to ensure a smooth-running event.

Working Hours, Working style
This is a part-time position with a regular weekend and weekday schedule (Up o 30 hours/week).

• Fridays: 3:00 PM – 9:00 PM
• Saturdays & Sundays: 11:00 AM – 7:00 PM
• One Weekday (for prep/logistics): 10:00 AM – 2:00 PM

Note: This schedule is typical but may vary. Flexibility is required. Breaks will be provided in accordance with California law. Overtime may occasionally be required.

Qualifications
Required

• Must be at least 21 years of age to serve alcohol.
• High school diploma or equivalent.
• Must have a valid driver's license, a clean driving record, and reliable transportation for travel between sites and transporting materials.
• Must be available to work the required schedule, including evenings and weekends.
• Business-level fluency in English (reading, writing, speaking, listening).
• Strong communication, interpersonal, and time-management skills.
• Excellent customer service and problem-solving skills.
• Demonstrated organizational skills and high attention to detail.
• Excellent multitasking ability and capacity to adapt to frequent changes.
• Ability to work efficiently both independently and as part of a team.
• Must maintain a positive and professional attitude.

Physical Demands

• Able to stand and walk for extended periods.
• Able to talk, hear, reach, bend, and kneel.
• Able to occasionally lift and/or move up to 25 pounds (e.g., cases of product, event materials).

Preferred

• Knowledge of Japanese liquor, including sake, shochu, and spirits, is a plus.
