Position
Japanese-Bilingual Executive Assistant

Summary
A newly established company in the food industry is seeking a dedicated Bilingual Executive Assistant. This position will provide direct, high-level support to the CEO. This role is crucial for the successful launch of the new entity. They are looking for a trusted partner who embodies the spirit of hospitality and meticulous attention to detail. The ideal candidate is highly proactive, thoughtful, and possesses a deep understanding of both Japanese and U.S. business cultures, enabling the CEO to focus on strategic operations.

Essential Duties
Executive Support:

• Manage the CEO's complex schedule, including coordinating appointments, internal/external meetings, and conference calls.
• Handle and prioritize the CEO's correspondence (phone calls, emails), responding or redirecting as appropriate with professionalism.
• Arrange all aspects of business travel (flights, accommodations, ground transportation).
• Provide personal assistance to the CEO, which may include tasks such as purchasing lunch, etc.
• Assist in preparing meeting agendas and materials.

Interpretation and Translation:

• Provide consecutive Japanese-English interpretation during meetings for the CEO and other executives.
• Assist with basic translation of documents or emails as needed.

General Affairs / Office Management:

• Manage office supplies, including ordering and inventory control, for the new office.
• Assist with tasks related to the setup and organization of the new office.
• Perform other general administrative duties as assigned.

Working Hours, Working style
Monday - Friday: 8:00 - 17:00

•  Overtime is expected occasionally, particularly for meetings involving Japan HQ.

Qualifications

• ​​​​​​​Business-level fluency in both Japanese and English (reading, writing, and speaking) is required.
• A deep understanding and appreciation of Japanese business culture, etiquette, and the principles of hospitality.
• Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative capacity supporting C-level or high-level executives.
• Exceptional interpersonal skills, characterized by meticulous attention to detail, proactivity, and thoughtfulness.
• Ability to handle highly confidential information with absolute discretion and professionalism.
• Strong organizational and time-management skills; ability to prioritize multiple tasks effectively in a dynamic, start-up environment.
• Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint).
• Must be authorized to work in the United States.
