HR Assistant Manager    

Summary
​​​​​​​The HR Assistant Manager supports and oversees Human Resources operations, working closely with the HR Manager to ensure compliance, efficiency, and employee satisfaction. This role combines hands-on HR administration with supervisory responsibilities, assisting in strategic initiatives and serving as the acting HR Manager when required.

Essential Duties

• 1. HR Operations & Compliance

• Understand and follow ISO9001 and IATF16949 systems.
• Ensure compliance with labor laws, company policies, and government reporting requirements.
• Maintain accurate and up-to-date personnel records.
• Oversee HR audits and support continuous improvement of HR processes.
• Serve as point of contact for complex employee relations issues, escalating to HR Manager as appropriate.
• 2. Recruitment, Onboarding & Offboarding
• Supervise recruitment activities (job postings, interview scheduling, candidate communication).
• Participate in interviews and selection decisions.
• Conduct and oversee onboarding sessions; ensure smooth integration of new hires.
• Oversee offboarding procedures, exit interviews, and separation documentation.
• 3. Benefits & Payroll Administration
• Administer benefits programs (health, dental, pension, vacation, leave of absence, employee assistance).
• Oversee payroll preparation and ensure compliance with tax regulations.
• Review and approve payroll changes and adjustments.
• 4. Performance Management & Training
• Oversee performance review processes and ensure timely completion.
• Work with HR Manager to design and implement training programs.
• Monitor training effectiveness and employee development plans.
• 5. Employee Engagement & Culture
• Plan and coordinate employee engagement activities and company events.
• Support initiatives to enhance workplace culture and retention.
• 6. Team Supervision
• Provide guidance and daily oversight to HR staff, including coordinators and assistants.
• Allocate workloads, set priorities, and review work for accuracy and timeliness.
• Coach and develop team members to improve performance and career growth.
• 7. Vendor & Facility Coordination
• Manage contracts and relationships with vendors (lawn maintenance, housekeeping, pest control, vending services).
• Negotiate terms to ensure quality and cost-effectiveness.
• Maintain office supplies and oversee incoming mail distribution.
• 8. Safety & Workplace Standards
• Ensure compliance with safety and security procedures; report and address unsafe conditions.
• Maintain a clean and organized work area.

Working Hours, Working Style
Monday–Friday, 7:00 AM – 4:00 PM
Onsite, Full-Time

60k-70k

Qualifications
​​​​​​​•    Bachelor’s degree in Human Resources, Business Administration, or related field; or equivalent combination of education and experience.
•    4+ years of HR experience, including at least 1 year in a supervisory or senior HR role.
•    Strong knowledge of labor laws, compliance requirements, and HR best practices.
•    Excellent communication, conflict resolution, and interpersonal skills.
•    Proficiency in Microsoft Office Suite and HRIS systems.


Preferred Qualifications
•    Bilingual in English and Japanese.
•    Experience in manufacturing or ISO-certified environments.
•    Proven ability to lead HR projects from planning to implementation.
