Sales Assistant

Summary
A Japanese company is seeking a detail-oriented and proactive Sales Assistant to join their B2B Sales department. The ideal candidate will be a crucial team player, providing comprehensive support across sales, customer service, and administration. This role involves processing sales and promotional orders, serving as a key point of contact for customer inquiries, and performing various administrative tasks to ensure the smooth operation of the department.

Essential Duties
Sales Support

• Process and manage B2B sales orders, ensuring accuracy from purchase order to spreadsheet entry.
• Coordinate logistics for product demonstrations and trade shows.
• Liaise with warehouses and the factory to coordinate order fulfillment and production schedules.
• Prepare, update, and analyze sales data for reports, including month-end closing and sales breakdown lists.
• Maintain and update product demonstration records and generate related reports.

Customer Service

• Serve as the primary point of contact for customer support, responding to inquiries, requests, and complaints via phone and email.
• Proactively communicate with customers to identify their needs and ensure a smooth and positive experience.
• Resolve product or service issues in a timely and professional manner.

Promotional Order & Inventory Support

• Manage the promotional order process from entry to shipment, ensuring timely and accurate delivery.
• Assist in managing inventory levels by placing orders with warehouses.
• Conduct on-site warehouse visits as needed to manage inventory.
• Process and coordinate product donation requests.

Administrative Support

• Answer and direct incoming phone calls and manage mail distribution.
• Greet and assist visitors in a professional and courteous manner.
• Perform general clerical duties, including mailing, scanning, faxing, and copying.
• Coordinate accommodations and provide support for visiting guests from our parent company and subsidiaries.

General Duties

• Uphold high ethical standards and comply with all company policies and procedures.
• Maintain clear and professional communication with management, colleagues, and external partners.
• Proactively identify opportunities for process improvement to increase efficiency.
• Assist with special projects and other duties as assigned by management.

Qualifications

• A​​​​​​​ssociate’s degree (A.A.) or an equivalent combination of education and experience.
• 1-2 years of experience in a sales support, customer service, or administrative role is highly preferred.
• Fluency in English (both written and verbal) is required.
• Proficiency in the MS Office Suite (Outlook, Word, Excel).
  • Strong skills in Microsoft Excel, including creating tables and using basic formulas (e.g., SUM, IFs).
• Excellent communication and interpersonal skills, with a strong understanding of professional business etiquette.
• Exceptional organizational skills, attention to detail, and the ability to multitask effectively.
