Position
Administrative Assistant – Sales & Engineering Support

Summary
This position provides administrative and secretarial support within the Novi, Michigan office, assisting sales and engineering teams, as well as other office staff. This role also supports general office operations as needed. The position reports directly to the Vice President of Sales.

Essential Duties

1. Transcribe dictated notes and documentation.

2. Manage internal data entry and record maintenance, including but not limited to:

   • Sales Price Master File updates

   • Distribution and tracking of PAS forms; liaising with the Purchasing department

   • Collecting and organizing market trend information

   • Preparing quotation-related data

   • Handling other data input tasks as requested by office staff

3. Organize and monitor schedules, including:

   • Customer Follow-up Item (CFI) reminders

4. Maintain and manage access to customer portals for team members.

5. Provide support for procurement activities, including RFQ handling.

6. Update and control customer engineering documentation and information.

7. Schedule and arrange meetings or conferences, and may be responsible for taking minutes.

8. Organize and maintain office records and file systems.

9. Manage calendars and coordinate appointments.

ADDITIONAL RESPONSIBILITIES:

1. Greet and assist office visitors; handle incoming calls as needed.

2. Oversee document control in accordance with ISO/IATF standards.

3. Monitor and order office supplies; handle inventory restocking.

4. Manage mail flow – receive, process, and ship incoming/outgoing correspondence and packages.

5. Coordinate domestic business travel, including flight, car rental, and hotel reservations.

6. Perform other related tasks as required.

Qualifications
Required Knowledge, Skills, and Abilities

1. Solid understanding of standard office procedures and administrative practices

2. Strong verbal and written communication abilities

3. Typing speed of at least 50 words per minute

4. Proficient in taking shorthand at 80 words per minute or capable of transcribing recorded dictation

Education and Experience

1. High school diploma or GED equivalent required

2. At least one (1) year of clerical or administrative experience in an office setting preferred

3. Competent in Microsoft Office applications – Excel, Word, and PowerPoint

4. Equivalent combinations of training and relevant experience will be considered
