Summary
This role functions as a Customs Broker Assistant and Operations Coordinator, managing the import documentation process, customs declaration, and communication with government agencies. The position plays a key role in ensuring compliance and timely cargo clearance, while also coordinating with internal teams and external stakeholders. Strong communication and organizational skills are essential.

Essential Duties

Primary Job Functions (50%)

• Accurately prepare and submit customs declarations to relevant authorities

• Ensure prompt processing of customs documents from the sales team

• Prepare and provide rate quotations for import logistics services

• Coordinate with shippers, carriers, trucking companies, and airlines

• Manage pick-up and delivery schedules

• Track shipments and report updates to clients

• Enter shipment data into the company’s database

• Manage billing, payment processing, and internal contract communication

• Support issue resolution related to freight and vendor payments

• Arrange domestic transportation and troubleshoot logistics problems

• Assist with invoicing in the Air, Ocean, and Trucking departments

Secondary Job Functions (30%)

• Report updates and suggest improvements to management

• Stay updated with customs regulations (TSA, CTPAT, State Dept., etc.)

• Ensure compliance with legal, financial, and company requirements

• Support accounting tasks, including reconciliation and month-end closing

• Handle and safeguard confidential company information

Qualifications

Required Skills & Experience

• 3–5 years of customs brokerage or import logistics experience

• Strong knowledge of U.S. customs regulations

• Customs Brokerage License is a big plus and preferred for higher compensation consideration

• High School Diploma or GED; or equivalent work experience

• Basic math and reasoning skills

• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

• Experience using logistics and ERP software systems

• Strong interpersonal skills, flexibility, and attention to detail

Physical Requirements

• Must be able to sit for extended periods and occasionally lift up to 10 lbs

• Moderate office noise environment
