Position
Bilingual Executive Assistant

Summary
A food manufacturer is seeking a skilled Bilingual Executive Assistant to serve as a key extension of the CEO and Leadership Team. This role functions as a trusted advisor to the CEO, requiring a strong executive presence and the ability to interact seamlessly with internal and external stakeholders. The ideal candidate is fluent in Japanese and English, with a nuanced understanding of both business and social cultures. Highly detail-oriented, proactive, and efficient, this EA excels at bringing structure to a dynamic workday where no two days are the same.

Essential Duties

Executive Support

• Manage high-volume scheduling for the Leadership Team, including calendar management, appointments, meetings, and conference calls.
• Handle correspondence, emails, and phone calls, prioritizing and responding as appropriate.
• Prepare meeting agendas, materials, and presentations with accuracy and professionalism.
• Coordinate travel arrangements for the CEO and Leadership Team.
• Serve as the main contact for stakeholders, relaying messages and inquiries effectively.
• Attend key meetings, providing Japanese-English interpretation for the CEO and Leadership Team.
• Draft, format, and proofread documents, translating as needed between English and Japanese.

Business Management

• Monitor call center feedback, ensuring timely resolutions.
• Engage with social media channels and influencers to enhance brand loyalty.
• Act as the liaison for sales brokers, managing orders, billing, and payments.
• Coordinate the creation and distribution of marketing materials.
• Collaborate with external vendors and consultants.

Event Coordination and Special Projects

• Support planning and execution of special events, including Japan HQ meetings.
• Coordinate logistics for events and meetings, handling venue selection, catering, and material preparation.
• Assist with ad-hoc projects and initiatives as needed.

Office Management

• Maintain a clean, well-stocked office environment, including fridge stocking and equipment upkeep.
• Manage guest reservations and plans.
• Design and select team and shareholder gifts for holidays and other occasions.

Additional Duties

• Perform other operational tasks as assigned.

Working Hours, Working style
Monday - Friday; 9:00 - 18:00 (1-hour unpaid lunch, OT may occur)

• On-Site 
• Up to 25% travel as needed

Qualifications

• Bachelor’s Degree required
• Fluency in English and Japanese, with strong cultural awareness
• 2-5 years of experience as an EA, Business Manager, or in a related corporate role
• Highly organized, detail-oriented, and proactive
• Excellent communication skills in both English and Japanese
• Strong time management and adaptability
• Strategic thinker with decision-making skills
• Proficient in MS Office Suite
