Position
Purchasing Assistant

Summary
An Asian food distributor is seeking a detail-oriented and proactive Purchasing Assistant to support purchasing operations and vendor coordination.

Essential Duties

• Maintain accurate records in the company system, including inventory adjustments, pricing updates, and container lists
• Prepare materials and reports for weekly sales meetings, including updates on new products, changes to current products, and promotional information
• Set up stock and vendor numbers in the AS400 system
• Process bills of lading, receipts, and invoices to ensure timely payments
• Coordinate with warehouses and vendors to resolve issues such as short shipments, damages, and returned kegs, ensuring timely credit processing
• Work with Accounts Payable to track and process invoices
• Liaise with Accounts Receivable to confirm receipt of vendor credits
• Register new vendors and keep vendor information up to date
• Assist in planning and preparation for the annual Food Expo
• Attend company events and functions outside of regular business hours as needed
• Perform other duties as assigned by management

Monday - Friday: 8:00 - 17:00

Qualifications

• Business-level English proficiency (reading, writing, speaking, and listening)
  • Bilingual in Japanese and English preferred
• High School Diploma or equivalent required
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.)
• Strong organizational and time management skills
• Effective communication and interpersonal skills
• Ability to work independently and collaboratively in a team setting
• Adaptability to frequent changes in workload and assignments
• Basic math skills (e.g., markups, discounts, unit conversions, inventory counting)
• Problem-solving ability
• Able to sit and use a computer for extended periods
• Occasional lifting (up to 20 lbs), reaching, bending, and kneeling
• Comfortable in a normal to moderately loud office environment
• Positive attitude and proactive mindset
