Position
Project Manager

Summary
We are​​​ seeking a highly motivated and experienced Project Manager to oversee the planning, execution, and closing of seating installation projects upon successful bid acceptance. The Project Manager will be the central point of contact, ensuring projects are delivered on time, within budget, and to the client's satisfaction.

Essential Duties
The successful candidate will be responsible for the full project lifecycle, including:

Project Initiation and Planning:

• Take ownership of the project immediately following bid acceptance.
• Define clear project objectives, scope, and detailed timelines in collaboration with stakeholders.
• Develop a comprehensive project plan, including resource allocation, task sequencing, and risk management strategies.

Execution and Monitoring:

• Coordinate and manage the daily activities of the project team, engineers, vendors/suppliers, and installers.
• Proactively monitor project progress against the established timeline and budget.
• Manage supply chain logistics, anticipating and addressing potential product or shipping delays.
• Track and manage project costs, updating projections for design modifications, supply chain issues, or installation delays.

Communication and Stakeholder Management:

• Act as the primary point of communication for a diverse group of stakeholders, including clients, sales, and internal leadership teams.
• Provide proactive and regular updates to leadership and clients regarding project status, milestones, and potential issues.
• Facilitate necessary meetings and communication flows to ensure alignment and transparency.

Problem Solving and Negotiation:

• Demonstrate a pro-active mindset, anticipating obstacles and information needs before they arise.
• Skillfully negotiate with vendors, suppliers, and clients to find effective solutions for unexpected obstacles that impact project costs or timelines.
• Lead the resolution of critical project issues, ensuring minimal disruption to the schedule and budget.

Project Closing:

• Oversee final installation, inspection, and client sign-off.
• Conduct a post-project review and documentation of lessons learned.

Working Hours, Working style
9:00-17:00、Hybrid 3 days/week at office

Qualifications

• Minimum of 4–5 years of proven experience as a Project Manager, ideally within a related industry such as construction, furnishings, or manufacturing/installation.
• Demonstrated ability to see a project through from start to finish.
• Exceptional communication and interpersonal skills, with the ability to manage relationships with diverse stakeholders, from internal leadership and the sales team to clients, vendors, and installers.
• Must be proactive with communication to the team and highly conscientious of timelines, delays, and the financial impacts those dynamics have on the project budget.
• Background working with international vendors/suppliers, and demonstrable knowledge of import/export regulations and how they impact delivery timeframes.
• Strong negotiation and problem-solving skills for navigating unexpected changes and conflicts.
• Demonstrated ability to manage complex schedules and budgets.
• Proficiency in project management software and tools.
• Bachelor's degree in a relevant field (e.g., Business, Engineering, Construction Management) or equivalent practical experience. Project Management Professional (PMP) certification is desirable.
• Bilingual ability in English and Japanese is beneficial but not required.

Work Environment & Travel

• The Project Manager will work in a small office environment primarily concerned with the sale and management of theater and auditorium seating projects.
• The work will primarily be performed in the office, with travel required as needed to job sites.
• Occasional international travel may also be required.
