Position:
Office Administrator

Summary:
A leading Japanese IT company is seeking an Administrative / Accounting Associate. This role involves a variety of office coordination tasks as well as responsibilities in accounting.

Essential Duties

• Perform data entry for vouchers, journal entries, invoices, checks, and monthly accruals.
• Conduct bank reconciliations and assist with monthly and annual closing processes (March/April).
• Manage accounts payable: process expense reimbursements, vendor bills, and issue checks.
• Manage accounts receivable: issue invoices and maintain sales documentation.
• Maintain and update accounting records and worksheets.
• Investigate and resolve accounting discrepancies, consulting with NY and Dallas as needed.
• Greet and assist visitors, ensuring a welcoming environment.
• Coordinate meeting room bookings and set up necessary equipment and supplies.
• Arrange for refreshments, including tea service and catering orders for meetings.
• Maintain office supplies inventory and place orders as necessary.
• Handle general office duties such as mail distribution, correspondence, and liaison with building management.

Working Hours & Style:
9:00 AM – 6:00 PM, Hybrid
20-30 hours per week

Location:
San Mateo, CA

Salary:
$25–$30 per hour (Temp-to-Hire)

Holidays:
Weekends (Saturday and Sunday) and public holidays off

Qualifications:

• ​​​​​​​Ability to utilize Excel, Word, Email, VPN and other electronic systems to complete responsibilities.
• Strong communication skills and attention to detail.
• Ability to work independently, anticipate needs, and proactively address issues.
• Flexible availability of 20–30 hours per week. Note: During monthly closings, approximately 4 hours per day are required on the last two and first two business days of each month.
